Role & responsibilities

Receivables & Debtors Management

  • Track outstanding receivables and follow up with customers for timely payments.
  • Coordinate with Finance for debtor status, invoice clarifications, and reconciliation.
  • Maintain a receivables dashboard and highlight overdue items to management.

Dispatches & Supplies Coordination

  • Coordinate with SCM and Logistics for timely dispatches of platform supplies.
  • Track shipment schedules, ensure documentation accuracy, and share updates with customers.
  • Monitor material availability and escalate gaps that may affect deliveries.

Sales & Project Administration

  • Track ongoing projects, new opportunities, and customer forecast updates.
  • Maintain project trackers, timelines, and execution status with internal teams.
  • Support BD and platform managers in preparation of customer submissions and progress documentation.

Documentation & Costing Support

  • Prepare costing sheets, price formats, and commercial documents for platform supplies and new projects. Ensure version control and accuracy of costing data.
  • Support annual price revisions, platform-level costing consolidation, and audit requirements.

MIS, Dashboards & Data Validation

  • Update and validate weekly/monthly dashboards on sales, receivables, dispatches, and project progress.
  • Consolidate annual data for budgeting, planning, and management reviews.
  • Ensure high accuracy in master data used across BD, Finance, and SCM.

Customer Coordination & Communication

  • Act as the administrative point of contact for customers on invoicing, dispatches, payments, and documentation.
  • Share invoice copies, dispatch documents, and project-related files as required.
  • Maintain professional communication and ensure timely responses.

Preferred candidate profile

  • Strong MS Excel and PowerPoint skills.
  • Hands-on experience with ERP/SAP or similar systems.
  • Understanding of pricing, costing, and supply chain workflows
  • Strong coordination and communication abilities.
  • Attention to detail and accuracy in data handling.
  • Ability to manage multiple tasks and deadlines.
  • Proactive, organized, and team oriented
